This policy explains what personal data Origin Coaching collects, why it is collected, and what rights you have over it. Origin Coaching is a business based in the United Kingdom and is the data controller for the information described here. Registered name and legal structure: Origin Coaching, operating as a sole trader.

2. Why it is used, and the legal basis
Your data is used to arrange and hold your consultation, to build and adjust your training and nutrition plans, to take payment and keep billing records, and to answer your questions and provide ongoing support.
The legal basis is contract for delivering the coaching you have paid for, legitimate interests for responding to enquiries and running the business, legal obligation for keeping financial records, and explicit consent for handling health information and for any marketing emails. Consent can be withdrawn at any time.
Your data is never sold, and progress photos are never published or shared without asking you first.
3. Who else processes it
A small number of service providers process data on Origin Coaching's behalf, each under their own privacy terms:
Some of these providers are based outside the UK. Where data is transferred internationally it is protected by UK adequacy regulations or standard contractual clauses.
4. How long it is kept
Enquiries that do not become clients are deleted after 12 months. Coaching records are kept for the length of your program and for 2 years afterwards, so your history is available if you return. Financial records are kept for 6 years, in line with HMRC record-keeping requirements. Health information and progress photos are deleted on request at any time.
5. Your rights
Under UK GDPR you have the right to access a copy of your data, to have inaccurate data corrected, to have your data erased, to restrict or object to how it is used, to receive it in a portable format, and to withdraw consent. To exercise any of these, email tom@origincoaching.uk — you will get a response within one month.
If you are unhappy with how a request was handled you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
6. Cookies
This site sets no advertising or analytics cookies of its own. When you open the booking widget, Calendly may set cookies necessary for it to function. If advertising or analytics tools are added in future, this policy will be updated and consent will be requested first.
7. Security
Accounts holding your data are protected with strong passwords and two-factor authentication where available, and access is limited to Tom Simpson. No transmission over the internet is completely secure, but any breach affecting your rights will be reported to the ICO and to you where required.
8. Children
Coaching is not offered to anyone under 18, and data is not knowingly collected from anyone below that age.
9. Changes to this policy
This policy may be updated as the service changes. The date at the top shows the current version, and material changes will be communicated to active clients directly.
